The received letter supplies its actual response directions. Ask for help explaining the request and deciding what information is needed for a defined next step.
Keep a reference to the requested action
Write the notice identifier and relevant passage beside the task in your working notes. State what the action is meant to produce: a document located, a figure reconciled, or a question clarified. Preserve wording that identifies a response method or date in the complete notice rather than relying solely on an abbreviated note. If instructions appear to conflict or you cannot interpret them, mark the issue for clarification. The task list should expose that uncertainty instead of inventing a resolution.
Record the action after it occurs
When a task leads to a response or other account action, retain the completed document and any evidence of delivery or submission available to you. Date the note and distinguish the action taken from any later result that is still unknown. A preparation step completed today does not mean the account has already been resolved. In the next conversation, explain what was done, which instruction it addressed, and what confirmation or further explanation you are waiting to understand.
